Domino hiring tool

I built this over the summer for a recruitment agency in East Grinstead. The agency went quiet. I have pointed the build at Domino instead. Every person on these screens is made up. The roles are real: the ten ads Domino had on LinkedIn on 17 September.

As I understand it, your team hires in-house. A Teams call first, then a stage with senior management, sometimes an assessment centre. About five weeks end to end. That is from candidates on Glassdoor, not from Domino, so hope I got that right.

The tool does three things. A shortlist pack for the hiring manager, where every line says where it came from. A note per hiring manager that records what the panel tests and why the last candidate failed. A private prep page for the candidate, built from that note. Nothing the candidate does on that page is shown to anyone at Domino.

The gap, honestly: I have not seen your process from the inside. The note headings, the check list and the contract types are guesses from the ads.

How it works

You build the pack and send it. The candidate prepares on their own page. The map first, then the steps.

Your side, step by step

Once per hiring manager

  1. Write down how the hiring manager hires

    Open Hiring managers and write down what you know about the team: who sits on the panel, what each stage tests, why the last candidate failed. Every pack for that manager is built from this note. Write it once, add to it as you learn.

Every shortlist

  1. Pick the hiring manager, add the ad and the CV

    On the Shortlist pack screen, choose the hiring manager. Paste the ad and the CV, or drop them in as PDF or Word files. Nothing you paste is stored.

  2. Generate, and leave the page open

    One press. The tool writes the pack and checks every claim word for word against the CV and your note. It takes a minute or two. The page shows a clock while you wait.

  3. Check the claims

    Every line of the pack carries a mark saying where it came from. Lines from the CV or your note arrive checked. Anything unverified you confirm or cut before the hiring manager sees it.

  4. Copy the pack into your email

    One press copies the whole pack, formatted. Paste it into your email to the hiring manager and send.

Once the interview is booked

  1. Send the candidate their prep

    Enter the interview date and the candidate's email address. They get a private prep page built from the ad, their CV, and only the parts of your note you ticked as shareable. The pack is never sent to them.

  2. Let the boards keep watch

    Three screens do the follow-up.

    • Counts shows, per hiring manager: packs sent, prep sent, prep opened, hired. Nothing about what a candidate did on their prep page.
    • Contracts emails you fourteen days before a fixed-term or interim contract ends.
    • Pre-start checks lists what each candidate still owes before day one, and what is about to expire. It keeps the reference number and the date, never the document.

After the decision

  1. Log what the hiring manager decided

    The tool asks at two moments. When an interview date has passed with nothing logged, the hiring manager's page says: "1 interview passed on 8 September, no outcome logged". When you mark a contract ended, the same form opens. One tap for the outcome, one line in your words, a date.

    The line is filed under an Outcomes heading on the note, with no candidate name: "17 Sep 2026, rejected: strong on circuit design, thin on EMC". The next pack for that manager quotes it. Counts gains a hired column.

The candidate's side, step by step

Their own private page

  1. A private link lands in their inbox

    When you press Send, the candidate gets an email with their own link. The link signs them in. No password, no account, nothing to install.

  2. They read their brief

    One page built from the ad, their CV, and the parts of your note you ticked as shareable: what Domino makes, who the team is, what each stage tests. It says that nothing they do on the page is shown to you or the panel.

  3. They practise, and file their stories

    The practice page asks questions for the role and offers one change per answer. Nobody marks them. Alongside it they write down their own stories, the examples they will use in the room.

  4. They tick off the pre-start checks

    The checklist names what Domino still needs before day one: right to work, two references, the qualification certificate, a driving licence for site and field roles. The candidate enters the reference number and the expiry date. No document is ever uploaded.

  5. Afterwards, the portal asks how it went

    Once the interview date has passed, a short debrief asks how it went. What they write stays with them. A privacy page states what is held about them, why, and when it is deleted.

What runs, when

Three checks that run on their own

Three checks run by themselves. Each does one thing.

  • The interview reminder emails the candidate the day before, once, with the link to their walk-in page: the address, who they will meet, what to bring.
  • The contract end reminder emails you fourteen days before a fixed-term or interim contract ends, once per contract.
  • The expiry check watches every pre-start item with a date. It reminds the candidate when a date is close and tells you when one has passed.

A daily run keeps all three going. Every email they send carries a count and a link, never a name in the subject line.

From the second role onward the flow starts at step 2. The note is already written. Each pack and each outcome adds a line to it.
